1. Introduction

We value your privacy. This Privacy Policy explains how SleepyNeko Studios Ltd. (“we”, “us”) collects, uses, and protects information related to 『雲端貓居 NyankoHost』(the “Service”).

This Policy applies to:

  • Our websites, dashboards, and APIs
  • Our hosting and infrastructure used to run your Discord bots

This Policy does not cover Discord’s own processing of data. Please refer to Discord’s Privacy Policy separately.

2. Information We Collect

We may collect the following categories of information:

2.1 Account and Contact Information

  • Discord user ID, username, and avatar
  • Email address (if provided)
  • Basic profile information associated with your login method

2.2 Service Usage Data

  • Bot identifiers (e.g., bot token ID, application ID – never store raw tokens in plain text; see below)
  • Bot runtime metrics such as CPU, memory, restarts
  • Logs from your bot containers (stdout/stderr), control panel actions, and API calls
  • IP addresses and metadata related to connections to our infrastructure

2.3 Technical Data

  • Browser type, operating system, device information
  • Cookies or similar technologies to maintain sessions and security
  • Timestamped events (e.g., login, start/stop bot, deploy)

2.4 Content Processed by Your Bots

Our infrastructure may transiently process Discord events/data that your bots receive or send via the Discord API (e.g., messages, guild info, user IDs).

Unless explicitly stated (e.g., for logging you enable), we do not intentionally store full message content. However, some of this data may appear in logs depending on how your bot is written.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Run and manage your hosted bots
  • Monitor service performance and stability
  • Prevent abuse, security incidents, and fraud
  • Communicate with you about updates, incidents, or important changes
  • Improve and develop our services (e.g., by analysing anonymous/aggregated usage patterns)

We never sell your personal data.

4. Cookies and Tracking Technologies

We use cookies and similar technologies to provide, secure, and improve the Service. This section explains what we collect, why we collect it, and how users can control their cookie preferences.

4.1 Types of Cookies We Use

We may use the following categories of cookies:

a. Essential / Strictly Necessary Cookies

These cookies are required for the Service to function properly. They enable:

  • Login sessions
  • Access to the dashboard or control panel
  • Bot management actions
  • CSRF/security protections
  • Rate-limit and anti-abuse systems

You cannot disable essential cookies because the Service cannot operate without them.

b. Functional Cookies

These cookies enhance usability, such as:

  • Remembering your preferences (theme, language, layout)
  • Saving last-used settings in the dashboard
  • Improving user experience across sessions

These cookies do not track you for advertising.

c. Performance & Analytics Cookies

We may use internal or third-party analytics tools (e.g., Plausible, self-hosted Matomo, or similar privacy-respecting systems) to collect aggregated information such as:

  • Page views
  • Button clicks
  • Error logs
  • Basic device/browser metadata
  • Usage patterns to improve performance

We do not use advertising cookies or behavioral tracking cookies. All analytics we use are non-intrusive, non-identifying, and not sold to any third party.

4.2 Web Beacons, Local Storage & Similar Technologies

We may also use:

  • Local Storage (for preferences like dark mode)
  • Session Storage (for temporary UI state)
  • Web beacons (for internal metrics or email delivery reliability)
  • Rate-limiting tokens (to protect APIs and dashboards)

These technologies function similarly to cookies but are stored directly in your browser or session.

4.3 Third-Party Cookies

We aim to avoid third-party cookies unless strictly necessary. If a third party is used (e.g., email delivery provider, CDN analytics), they will only be:

  • Privacy-compliant
  • Limited to essential or performance functionality
  • Prevented from selling or sharing your data

We may update this Cookie Section as:

  • Our dashboard evolves
  • New features are added
  • Regulations change

When material changes occur, we will notify users through the dashboard or website.

5. How We Store and Protect Data

We take reasonable technical and organizational measures to protect data, including:

  • Implementing firewalls, antivirus systems, access controls, and other security measures
  • Limiting access to infrastructure and logs to authorized personnel
  • Using encryption in transit (e.g., HTTPS)
  • Applying security patches and updates where possible

Only authorized personnel may access your data, and all such personnel are bound by confidentiality agreements. Any violation of confidentiality obligations may result in legal consequences.

6. Data Retention

We generally retain data only for as long as necessary to:

  • Provide the Service
  • Comply with legal obligations
  • Resolve disputes and enforce agreements

We may also retain usage data for internal analysis. Usage data is anonymized or aggregated and generally kept for a shorter period unless it is required to enhance the security, stability, or functionality of the Service, or unless we are legally required to retain such data for a longer period.

Our Service may provide links that allow you to access external websites or services. These external sites are not covered by this Privacy Policy, and you should refer to the respective privacy policies of those sites for information on how your data is handled.

8. Sharing of Information

We may share information with:

  • Service Providers / Sub-processors
  • Cloud infrastructure providers
  • Monitoring, logging, and alerting services
  • Email delivery or notification providers

They will only process data on our behalf and according to our instructions.

We do not provide, exchange, rent, or sell your personal data to any other individuals, organizations, private companies, or governmental agencies, except where required by law or necessary under contractual obligations.

Exceptions may include, but are not limited to, the following situations:

  • We have explicit consent from you
  • If required by law, court order, or valid legal process
  • To investigate or respond to abuse reports, security incidents, or threats
  • To protect the rights, property, or safety of our users, the public, or us
  • Your actions violate our Terms of Service, or when disclosure is necessary to identify, contact, or take legal action against you to prevent harm to the Service, our rights, or the rights of others.

9. Your Rights

Depending on your jurisdiction, you may have rights such as:

  • Accessing the personal data we hold about you
  • Requesting correction of inaccurate or incomplete data
  • Requesting deletion of your data (“right to be forgotten”), subject to legal or safety exceptions
  • Restricting or objecting to certain processing
  • Data portability, where technically feasible

To exercise these rights, contact us at [email protected]. We may need to verify your identity before responding.

10. Children’s Privacy

The Service is not intended for children under 13 or under the relevant age of digital consent in their jurisdiction. We do not knowingly collect personal data from such children.

If you believe we have collected personal data from a child, please contact us and we will take reasonable steps to delete it.

11. Changes to This Privacy Policy

We may update this Policy from time to time. If we make material changes, we may provide additional notice, such as via email or dashboard.

Your continued use of the Service after changes become effective constitutes your acceptance of the updated Policy.
